Managing an all-inclusive hospitality venue involves distinct moving parts, so we’ve put together a checklist to ensure a seamless check-in, smooth day-of operations, and a 5-star guest experience.
1. Ready at Check-In: Ensure the space, bar setups, and AV equipment are fully arranged before the guest's booked start time.
2. Clear Arrival Instructions: Reach out in your Peerspace message thread 24–48 hours beforehand with direct check-in steps. Use message templates and schedule messages to send before the booking starts! Include parking directions so vendors and guests don’t experience delays.
3. Setup & Clean-Up Instructions: Make sure the guest understands that all setup, decorating, and tear-down must take place strictly within their reserved booking window. Clarify what your staff handles versus what the guest is responsible for packing up.
4. Dedicated Point of Contact: Even if you aren't on-site yourself, provide the guest with the direct name and on-site number of whoever is running floor operations in case they need immediate assistance during the event.
5. Managing Food & Beverage Tabs: Peerspace never takes a commission on food and beverage sales; your F&B revenue goes directly to your venue. Make sure your front-of-house and POS staff understand how to close out the tab based on your booking model:
If your booking is "Minimum Spend Only":
The guest already paid a reservation amount upfront on Peerspace.
Important: Your staff must apply this prepaid reservation amount as a direct credit on the guest’s final bill/register tab.
Collect the remaining balance (and any applicable tax or gratuity) directly at the venue.
If your booking is "Space Rental + Minimum Spend":
The guest’s space rental fee was handled through Peerspace.
Collect the entire agreed-upon food and beverage minimum spend directly from the guest on-site.
Need last-minute adjustments? If the guest asks for extra hours, premium bar upgrades, or added staffing before event day, use the Update Booking tool in your message thread to keep everything covered by Peerspace host protections.
